Terms and Conditions

These terms govern the use of the Vehicle Handover platform — the SaaS service for vehicle movement teams that captures collection and delivery evidence and generates Proof of Collection and Proof of Delivery documents. By creating a workspace or using the service you agree to these terms.

1. The agreement

This agreement is between Vehicle Handover ("we", "us" or "our") and the business that registers a workspace ("you", the "customer"). Vehicle Handover is a business-to-business service and is not intended for consumers.

2. Your workspace and accounts

  • You are responsible for the accuracy of user, driver, customer, vehicle and movement data entered into your workspace.
  • You control who can access your workspace, including team members, drivers and customer portal users, and must keep credentials confidential.
  • Workspace owners can add or remove team members at any time from the dashboard.

3. Subscriptions, trials and billing

  • Every plan starts with a 7 day free trial. A payment method is required at checkout; cancel before day eight and you will not be charged.
  • Plans are billed through Stripe, monthly or annually. Annual billing charges 10 months for 12 (2 months free).
  • Your plan sets your included monthly movement allowance: 100 on Lite, 300 on Pro, 500 on Max. All plans include the full platform.
  • If you reach your allowance, new movements cannot be booked until you upgrade or your allowance resets at the next billing period. Existing records and documents remain available.
  • You can upgrade, downgrade or cancel from Billing in your dashboard. Stripe manages payment and proration.

4. Acceptable use

  • Use the service only for lawful vehicle movement and handover documentation.
  • Do not attempt to probe, disrupt or overload the service, or access data belonging to another workspace.
  • Do not upload content that is unlawful, infringing or malicious.

We may suspend access where we reasonably believe these terms are being breached or the security of the service is at risk.

5. Service records and documents

Proof of Collection, Proof of Delivery, damage records, invoices and audit records are generated from the workflow data your team captures. You are responsible for reviewing documents before relying on them externally, and for ensuring drivers capture the evidence your processes require.

6. Your data

You retain ownership of the data in your workspace. We process it to operate the service as described in our Privacy Policy. Movement records and documents are retained in line with the retention periods set out there, so your proof pack stays available for disputes and insurance claims.

7. Availability and support

We aim to keep the service available at all times but do not guarantee uninterrupted operation. Planned maintenance is scheduled to minimise disruption. Support is available by email at [email protected].

8. Cancellation

You can cancel your subscription at any time from Billing in your dashboard. Cancellation takes effect at the end of the current billing period; no further charges are made after that. Documents and records remain exportable during the notice period.

9. Liability

Nothing in these terms excludes liability that cannot be excluded by law. Otherwise, our total liability arising from the service in any 12 month period is limited to the subscription fees you paid in that period, and we are not liable for indirect or consequential loss, including loss of profit or business.

10. Changes to these terms

We may update these terms from time to time. We will post the revised version on this page and update the "Last updated" date. Material changes will be notified by email or an in-app notice. Continued use of the service after changes take effect constitutes acceptance.

11. Governing law

These terms are governed by the law of Scotland, and the courts of Scotland have exclusive jurisdiction over any dispute arising from them.
